Privacy Policy

1. Who We Are
GamePlanLab ("we," "us," or "our") operates the GamePlanLab coaching intelligence platform available at gameplanlab.app. We are committed to protecting the privacy of coaches, organizations, and the young athletes whose information may be entered into our platform. This policy explains how we collect, use, store, and protect that information.
2. Information We Collect
We collect information you provide directly when you create an account, including your name, email address, organization name, and payment information. When you use the platform, we collect team and roster data you enter — such as player names, positions, statistics, and pitch counts. We do not require or request sensitive personal information about athletes beyond what is needed to support coaching decisions. We also collect standard usage data such as log files, IP addresses, browser type, and pages visited, used solely to maintain and improve the service. If you use the GamePlanLab mobile app, we additionally collect: device identifiers used solely to deliver push notifications, basic device information (OS version, device model) for crash diagnostics, and — only if you grant the permission — the contents of microphone audio while you are actively using the voice pitch counter feature (see the "Microphone and Voice Data" section below).
3. How We Use Your Information
We use your information to provide and operate the GamePlanLab service, process subscription payments, send important account and service communications, and improve the platform based on how it is used. We do not use your data for advertising. We do not sell your data to third parties. We do not use athlete data for any purpose other than delivering the coaching features you requested. We do not use your data to train any artificial-intelligence model, ours or anyone else’s.
3a. Artificial Intelligence and Generative Features
GamePlanLab uses generative AI to power features such as AI-generated lineup suggestions, practice plan generation, opponent scouting summaries, screenshot OCR, and the in-app coaching assistant ("Scout"). When you use these features, the relevant inputs (typically the team or opponent context plus the specific prompt for the feature) are sent to our AI provider, Anthropic, via the Claude API for processing. Anthropic processes these requests on our behalf as a sub-processor and does not use your data to train their models, per their commercial terms. We do not send your billing information, raw email contents, or unrelated personal data to the AI provider. AI-generated suggestions are recommendations only — every coaching decision remains with you, the coach.
4. Youth Athlete Data, COPPA, and FERPA
GamePlanLab is designed for use by coaches and sports organizations, not directly by children. Coaches and organizations are responsible for ensuring they have appropriate authorization to enter player information into the platform. We handle all youth athlete data with heightened care. We do not knowingly collect personal information directly from children under 13. If you believe player data has been entered without proper authorization, contact us immediately at privacy@gameplanlab.app and we will remove it promptly. Coaches using GamePlanLab in a school or district context should ensure their use is consistent with FERPA obligations.
5. Data Storage and Security
Your data is stored on servers provided by Supabase, a secure cloud database platform. All data is encrypted in transit using TLS and encrypted at rest. Payment information is processed by Stripe and is never stored on our servers. We implement row-level security controls so that each organization can only access its own data. While we take security seriously and follow industry best practices, no system is completely immune to risk. We encourage you to use a strong, unique password and to notify us immediately of any suspected unauthorized access.
6. Third-Party Services
We use the following third-party services to operate GamePlanLab. Each provider has its own privacy policy and security practices. We share only the minimum data necessary with each provider to deliver the service. We do not integrate with advertising networks, data brokers, or analytics platforms that track users across the web. • Supabase — database, authentication, and file storage (privacy.supabase.com) • Stripe — payment processing (stripe.com/privacy) • Vercel — hosting and content delivery (vercel.com/legal/privacy-policy) • Anthropic — generative AI (Claude API) for the AI features described above (anthropic.com/legal/privacy) • Sentry — crash and error reporting from the mobile app, sending device model, OS version, stack traces, and an anonymous installation identifier (sentry.io/privacy) • Resend — transactional email delivery for password resets and account notices (resend.com/legal/privacy-policy) • Apple Push Notification service and Google Firebase Cloud Messaging — relay push notifications to your device. We share only the device-issued push token; we do not share message contents with these providers beyond what is necessary to deliver the notification.
7. Data Retention and Deletion
We retain your account and team data for as long as your account is active. In-app deletion: From within the GamePlanLab app (mobile or web), you can permanently delete your account and all associated data via Settings → Preferences → Danger Zone → Delete Account. This action is immediate and irreversible. Deletion by request: You may also request deletion by emailing privacy@gameplanlab.app. We will process deletion requests within 30 days. If you cancel your subscription without deleting your account, your data remains accessible for 30 days, after which it may be permanently deleted. Some data may be retained in anonymized, aggregated form for platform improvement, fraud prevention, or legal-obligation purposes.
8. Your Rights
You have the right to access, correct, or delete your personal information at any time. You may export your team data from within the platform. If you are located in the European Economic Area, the United Kingdom, or California, you have additional rights under GDPR, UK GDPR, and CCPA respectively, including the right to data portability and the right to object to certain processing. 9. Cookies
GamePlanLab uses session cookies to keep you logged in and to maintain your application state. We do not use tracking cookies or third-party advertising cookies. You may disable cookies in your browser settings, but doing so will prevent you from staying logged in to the platform.
9a. Microphone and Voice Data (Mobile App)
The GamePlanLab mobile app includes an optional voice pitch counter that listens for the words "ball" and "strike" so coaches can call balls and strikes hands-free during a game. Microphone access is requested only when you tap to start the voice counter, and is released when you stop it. Speech recognition is performed on-device using the operating system's built-in speech recognition framework — raw audio is not uploaded to our servers or to any third party. Only the resulting count of balls and strikes is saved when you confirm the save. You may revoke microphone permission at any time in your device's system Settings.
9b. Public Schedule Feeds
Coaches and team admins can opt to publish a team's game schedule as a public, read-only iCalendar feed for parents to subscribe to. Anyone with the team's share URL can view the schedule. Player names, scores, or other private data are not included in the public feed — only opponent name, date/time, and venue. You can disable the public schedule at any time from team settings.
10. Changes to This Policy
We may update this Privacy Policy periodically. When we make material changes, we will notify you via the email address associated with your account and update the "Last updated" date at the top of this page. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
